Commissioners asked that a tentative agenda and a list of delegation members be prepared and submitted for approval through the mayor’s office.
Councilwoman Helen Gordon, the commission’s council liaison, said the mayor and city council members had been invited informally and that the mayor had tentatively accepted, adding that they would make a formal invitation once Ensenada confirmed readiness for an official delegation. “If it is an official trip, which we hope it will be and expect it will be,” Gordon said, commissioners could coordinate the mayor’s attendance.
The commission also discussed logistical details commissioners said are necessary for any official delegation: written itineraries, clarity on whether a visit is an official city delegation or an informal cultural exchange, and commissioner badges showing names and the city logo. Staff said badges can be ordered and that itineraries should specify who is in the delegation so Ensenada officials know the delegation’s composition.
The item tied into ongoing youth-exchange programming: Commissioner Lam reported a robust youth subcommittee that is recruiting students, hosting a potluck March 23 and planning a student’s participation in the June Ensenada trip. Lam also described a student sticker contest whose winning design will be produced and posted. The commission celebrated earlier work connecting Vallejo students with partner schools in Baguio City and discussed how delegations can generate economic benefits when delegates visit, citing conference takeaways about counting local spending by visiting delegations.
Commissioners emphasized that the trip must follow city protocols before it becomes an official delegation and that staff must review and approve any formal itinerary. No final decision was made; commissioners asked staff and the association to return with a written itinerary, participant list and logistics for formal approval.
