Members also discussed attendance and capacity planning. They estimated total attendance from awards and retirees and agreed on a limit of roughly four guests per retiree category (excluding the retiree), noting the final headcount would be reconciled closer to the event date.
Logistics decisions included renting and dry-cleaning tablecloths, confirming chargers and vases are available from volunteers, arranging volunteers for day-of setup, and avoiding placing delicate hydrangea arrangements until the event day. The group set a day-before setup on Wednesday, April 29, with the ceremony scheduled around the end of April/May timeframe; chair read local graduation dates to inform community members planning to attend.
The chair also said Mario, a former chair, will present a fundraising idea next month to consider additional revenue through an interschool competition. The meeting adjourned at 7:50 p.m.
Next steps: staff will confirm winners' certificates with the mayor's office, request scripts or proclamations for award presentations and finalize volunteer assignments for setup on April 29.
