Warrenville’s new enterprise resource planning system went live in early May, Finance Director Dstrand told the Public Safety and Finance Committee, and staff continue to work through implementation issues.
Dstrand said the transition introduced "growing pains" after 30 years on the previous system but praised staff efforts and the system’s new controls, including departmental purchase orders and decentralized invoicing. He said cashiering and integrated payments (BSNA) are in place at city hall and the police department.
The conversion disrupted utility billing timing. Dstrand said staff extended the due date for affected accounts to June 6 to allow accurate billing after a delayed May issuance. He added the city expects to soft-launch an online bill-pay portal and issue June 10 bills in a new format that will include a usage graph showing multiple months for customers.
Dstrand identified remaining technical work on meter-imports between BSNA and Neptune and said staff expect to resolve those issues before the next billing cycle. Council members thanked staff for the implementation work and for assisting residents during the conversion week.
Why this matters: the ERP controls purchasing and billing citywide; conversion problems can affect resident payments and departmental operations. The city is rolling out an online portal and a new bill layout to improve transparency for utility customers.
Next steps: staff will continue resolving Neptune/BSNA import issues, finalize the online portal, and distribute communications with the June 10 bills.
