Sebastian board to use AI for meeting minutes; staff urges clearer microphone use

The City of Sebastian's Natural Resources Board was told April 7 that the city will begin using an AI-based minutes system for public meetings.
Felicia, a staff liaison, told the board the new system has been tested with other boards and committees and that the city will begin using it for this board’s minutes: "we are actually starting to take um AI minutes," she said, and added that the change has been in the works for some time.
She asked board members to speak clearly into microphones to ensure accurate capture, giving technical guidance on placement and the red light indicator: members should keep the microphone directly in front of them and lift it away when not speaking so the red light indicates the mic is active.
Felicia said the city is also changing who may serve as the minutes taker at meetings and that another staff liaison (not necessarily Michelle) may handle minutes for future sessions. She asked members to expect updated procedures and noted staff will share materials and training as needed.
Board members raised no objections during the announcement. The item was presented as an operational update; there was no formal vote required. The city plans to record the upcoming May 5 Recycle Right workshop and will provide digital promotional assets for board use.
