Trustees reviewed architect estimates that underlie the $5 million figure. The breakdown cited at the meeting listed roughly $800,000 for roofs, about $400,000 for HVAC and about $3,000,000 for interior renovation, but trustees cautioned those numbers are preliminary until formal bids are received.
Board members discussed how to contract the work. One trustee and the director said they prefer packaging the roof, HVAC and interior work into a single general-contract agreement, arguing a bundled contract reduces interfacing problems between trades, allows a single general contractor to coordinate subcontractors, and may lower some architectural fees. Trustees also noted sequencing issues: the HVAC equipment is heavy and, to avoid damaging a new roof, HVAC work would be scheduled before roof replacement. The board estimated planning and preliminary work plus construction would take in the order of about 18 months from start of design to substantial completion.
The board approved the motion to set aside the funds after a brief discussion; the motion was seconded and passed unanimously.
