Trustees approved an agreement on April 16 to contract Incident IQ for initial setup and licensing of an asset management and ticketing system from May 1, 2026, through June 30, 2027, for an amount not to exceed $85,564.
District staff said the system will provide a single asset‑management tool to track device inventory, repairs, insurance claims and expected device lifecycles and that it can integrate with the district’s student information system and Google administration tools. Staff said better lifecycle tracking should extend device life and yield long‑term savings despite the upfront cost; one administrator estimated three‑fold savings over time by curbing mismanagement and improving repair workflow. The board pressed staff about reconciling historical inventory gaps and whether the system can locate missing devices or disable them remotely; staff confirmed the system supports repair workflows and some disabling capabilities and said they would follow up about classroom‑level location tracking.
Trustees discussed ongoing sustainment costs as a continuing district expense and emphasized the need to reconcile past inventory records before relying on the new system. Superintendent Roach said the Incident IQ rollout is "step one" toward a device strategy he will present to the board, and trustees approved the contract by roll call.
The board also discussed broader technology governance: staff noted the system will allow the district to build a device replacement cycle so future budget planning can include predictable device replenishment rather than ad hoc large purchases.
