The Cottage Grove Library Board approved a proclamation designating April 19'25, 2026 as Library Week, themed "Find Your Joy," and agreed to post the proclamation on library social media and the Community Park book pedestal.
The board moved quickly through routine business on April 15. The chair noted a memo prepared by Cindy and said this year's theme, "Find Your Joy," would be promoted on the library's channels and through an on-site book display. Cindy moved to approve the proclamation; Megan seconded and the motion carried by voice vote.
Members also voted to cancel the Aug. 19, 2026 meeting because that date conflicts with an established community event (Community Night Out). The chair explained the conflict had been confirmed and Cindy's motion to cancel was seconded by Megan and approved.
The meeting included a substantive change to how small vendor payments are processed. A staff memo, attributed to Cameron and the finance team, recommended aligning the library's payments under $1,000 with the village's bi-weekly bill-payment cycle to reduce off-cycle check cutting and make payment timing more predictable for vendors. The presenter explained the board would still review and approve payment records; the change concerns processing cadence only.
Board members noted the library already requires board approval for purchases above $2,500. After discussing vendor relationships and the administrative benefits of alignment, Cindy moved to adopt the policy amendment (the memo recommended a $1,000 threshold); the motion was seconded and approved. The presenter said she would update the policy manual and coordinate the change with village finance staff.
The board also approved vouchers attached to the agenda by voice vote.
Next steps: the library staff will update the policy manual, notify village finance staff, and post the proclamation and related outreach materials. The board's next meeting is scheduled for May 20, 2026.
