Events staff presented revised budgets at the April 13 workshop that reduced several line items and sought to preserve core town programming while lowering overall costs.
Amy, the events coordinator, told the council she reduced transportation and merchandise costs and trimmed advertising; "I brought the total cost down to 16,650 and I think I can bring it down to 15,650," she said. She also described changes to parking and shuttle plans for Sunset at Sunset, proposing to reduce the number of buses and rely on private lots that agree to host attendees with attendants; sandwich-board signage would be used where private lots are not available.
Holiday programming and park decoration were discussed in detail. Staff proposed installing holiday tree lighting and gazebo lighting (vendor lighting quote for the gazebo was about $1,500; tree-lighting and accessories were additional). Decorative “deer” packages were presented, but councilors agreed to cap the initial decorations budget at $7,000 (down from a larger proposal for six deer) and asked staff to return with alternatives and sponsorship options.
On concerts, staff recommended a typical season of about 14–15 concerts with a per-group negotiated cap, and councilors discussed adding a late‑season local-band showcase to give residents an additional fall event. Staff said sponsorships and vendor fees typically recover a substantial portion of event costs and will continue pursuing partners to offset expenses.
What happens next: events staff will refine shuttle and vendor pricing, pursue sponsorships, return with a $7,000 holiday-decor plan consistent with council direction, and provide any updated concert scheduling and costs for final budget consideration.
