The Miami Lakes committee approved updated invoices for catering and awards and finalized many details for the town’s upcoming “Words of Excellence” recognition dinner.
The chair moved to accept two updated invoices for catering and awards with an adjustment to award quantities; a second was recorded and the chair announced the motion passed. The committee also agreed to hold 16 tables as a working count for seating and to proceed with ordered tablecloths, chargers and decorations.
Organizers said sponsorship support includes the title sponsor and two silver sponsors and noted banner sales of 41 toward a 60-banner target, which affects projected event revenue. Committee members discussed a rise in floral costs (two boxes of white hydrangeas up from $80 to $120) and agreed volunteers or a town staff member would pick up linens and some decorations the day before the event.
Members planned the program flow to keep the ceremony compact: the group favored starting the program at 7 p.m. and aiming to finish by 8–8:30 p.m. to respect attendees’ schedules and allow time for cleanup. Because a town council special taxing district budget workshop is scheduled the same evening, the committee discussed asking the mayor’s office for flexibility in when proclamation remarks would be presented or designating an alternate to present awards if needed.
The committee also confirmed production details: a town photographer is expected to attend, an on-site backdrop will be used for photos, and the volunteer-led AV/playlist plan will rely on a committee member’s iPad for music.
Next steps: organizers will send updated invoices and confirmations to the committee, complete a final walk-through (volunteer assignments for set-up were assigned), and communicate timing expectations to nominated guests and dignitaries.
