"For the parks, it'll let people know who's there at night, how many people are there at night, if we need more lights," Ducing said. He added that vendor support includes trainings and the ability for Placer AI staff to generate reports the county may need.
Magistrates and staff focused discussion on cost and contract terms: adding logins for external partners (named in the record as 3C and Bill Lewis) would raise the contract from a base figure to a maximum of $18,500; a multi-year contract would limit annual increases to 5% compared with an 8% increase on a single-year term. One magistrate proposed year-by-year renewal to limit risk. County staff also flagged data-sharing limits. "We have to make sure if it's protected under the contract, we can't violate our contract by sharing data with outside sources," a staff member cautioned during the discussion.
Following discussion, a motion to authorize the county judge to sign a one-year contract with Placer AI for up to $18,500 was made and seconded; the court approved the motion by voice vote.
The contract text and final scope of user access were recorded as matters for the court's file; the court asked staff to ensure contract language protects any data restricted by the vendor and to pursue cost-sharing avenues with tourism partners if appropriate. No formal vote tally by name was recorded in the minutes.
The county placed the Placer AI subscription on the agenda after staff recommended the service as a tool for economic-development metrics and to support grant applications. The county will proceed with executing the one-year agreement and return to the court if modifications or multi-year commitments are proposed.
