Chair Tom Polk and other members said supernumeraries are alternates who are called when needed, but that reminders and clearer RSVP follow-ups could help ensure adequate participation. One suggestion was to send an update two days after meeting invites showing who has responded.
Board members agreed to remind absent colleagues and to be more attentive to meetings; no formal bylaws amendment or procedural change was proposed or enacted at this session. The conversation was a request for improved communication rather than a binding policy change.
