Councilmember Rebecca Flynn urged the Portola Valley Cultural Arts Committee on Dec. 9 to pilot a recurring speaker series that would put community programming on the same day each month to build attendance.
Flynn, introduced to the committee by liaison Ivy Margolas, said the idea is to have committees across town sponsor events on a regular schedule so residents can “block that out on their calendars.” She described the model as similar to Woodside’s long-running First Friday series and suggested the Cultural Arts Committee act as an umbrella for scheduling while individual committees would run and fund their own presentations. “My idea was more to have … our committees who all wish to sponsor events,” Flynn said.
Why it matters: organizers said a recurring, predictable schedule makes marketing easier and increases community participation. Committee members noted the format could address social isolation by bringing neighbors together and let subject-matter committees present on topics ranging from wildlife corridors to wildfire preparedness.
Committee response and limits: members supported starting small. The committee agreed to commit to sponsoring two events in the coming fiscal year while coordinating with two to three other committees for additional monthly slots. Members emphasized constraints: the community hall’s audiovisual system is reported to be nonfunctional for some uses, staff are limited (many on 9/80 schedules), and the committee currently has modest event budgets. Rebecca and members noted past speaker fees in similar programs ran about $400 per speaker; specific budget allocations for the pilot were “not specified.”
Logistics and scheduling: members suggested avoiding Woodside’s First Friday by holding Portola Valley events on a different Friday (several recommended the third Friday) and discussed using the smaller meeting room for early pilots to reduce setup needs. Cross-marketing with Woodside and use of mailing postcards were offered as proven promotional tactics.
Next steps: the committee will pilot one speaker event in spring or early summer and secure a recurring monthly slot (members suggested third Friday) for future coordination. The group asked staff liaisons to check facility availability and report back at a subsequent meeting.
