The council approved awarding City Hall janitorial services to Reflections Windows and Floors after reviewing three vendor proposals and terminating the contract with the prior vendor.
Staff said the termination letter to the prior vendor had been issued and that the selected vendor would likely start the week of Sept. 21. Members discussed whether to use month-to-month arrangements or a longer contract, how supplies would be handled, background checks and whether an initial deep clean would generate higher first-month costs. Staff recommended allowing a month-to-month arrangement initially so the city could change vendors if performance proved unsatisfactory.
A motion to hire Reflections Windows and Floors passed; the motion included an acknowledgement that the initial clean could be more expensive than regular monthly service. Council directed staff to proceed with standard onboarding, including background checks and any necessary confidentiality agreements for police-area cleaning.
Next steps: staff will finalize onboarding and confirm start dates with the vendor and return to the council if contract terms or costs require formal approval.
