The committee voted to authorize a not-to-exceed purchase to acquire canopy tents and weights to use at cleanup collection stations. A motion to spend up to $600 for canopies and weights was made, seconded and approved by voice vote; minutes record the motion but do not include a roll-call tally. Members also approved a not-to-exceed purchase (rounded to $300 in discussion) for banners and date stickers to mark event locations and posters.
Committee members reviewed supplier quotes: examples discussed included Easy Up tents priced individually in the mid-hundreds, a lower-cost WBM/Mason option and the additional cost for custom-branded canopies. Members favored purchasing generic tents and separate printed banners with the Farmington Green Efforts logo to balance visibility and cost. The committee discussed purchasing three canopies, weight sets (about $120 for weights for three tents), and reusable 3x6 vinyl banners.
Organizers confirmed logistics: the cleanup is planned for the first weekend in April with collection locations set at Farmington Fire, Tungstus Hose, Tungstus Mead and an additional site; the public-event permit has been submitted and the temporary sign permit will allow signs to be posted starting April 1. Proposed cleanup hours discussed were roughly 8 a.m. to 1 p.m., with volunteers asked to arrive early to set up and stay briefly after to pack up.
Members also assigned outreach for prize donations, listing prior donors such as Fork and Fire, Naples Pizza, Farmington Ice Cream and Mini Golf, and agreed to coordinate vendor outreach so contacts are not duplicated. The committee confirmed it will provide a SignUpGenius link and QR code for volunteer sign-ups and will include event information in the school Friday folder and the town newsletter to boost attendance.
