The Brandywine School District board received a first reading of a proposed addendum to its lease with the Boys & Girls Club covering the Darley Road facility, a district official said.
Dr. Rivera told the board the district and the club have been negotiating an update to an agreement that originally began around 2009 and was amended in 2011 and 2018. He said the review aims to spell out current space utilization and align financial responsibilities as the district prepares to start capital projects this summer.
"There are scheduled capital projects to begin this summer there, which would include replacing the chiller, rooftop cooling towers, two boilers, and associated pumps and piping. And the cost of that is going to range somewhere around a half a million to even up to $800,000 this summer," Dr. Rivera said, describing work the district has planned.
Under the proposed addendum, the Boys & Girls Club — which currently occupies about half of the building — believes it can deliver programming in roughly 24% of the space. That percentage would factor into how the club shares ongoing operating and capital expenses, Dr. Rivera said. He added the club also houses some adult administrative staff at the site who would relocate, freeing classrooms for district pre-K seats.
Dr. Rivera said the parties are discussing a new fee structure and that the addendum would set a firm lease end date of August 2028 and remove automatic renewals, allowing both sides to reassess space and financial arrangements before any extension.
Board members asked how utilities and capital costs would be calculated and whether the district would have to advance capital spending. Dr. Rivera said the district pays for capital projects up front and described a proposed calculation that spreads the district's capital cost over the expected life of the equipment, then charges the club its proportional share based on occupied square footage.
No formal action was requested at the meeting. Dr. Rivera said staff expect to return with a final agreement and a vote as early as next month.
