Chair Gail Sheret praised a draft prepared by staff member Sarah O'Reilly but said she had added fields — including event date, time, and location — and recommended a plan for at least six physical drop-off boxes around town for nominations.
"Sarah did an excellent job and I want to just mention that I would have used the same identical format that she did except I added a few things," Sheret said, explaining why her version included additional fields such as an explicit line for the award date and a rationale statement noting for whom the award is named.
A committee member raised a process objection, saying the group had agreed at the prior meeting that one draft would be emailed and edits would be brought to this meeting rather than circulating multiple reformatted versions. "I believe that when we left the last meeting, what we agreed upon was that I would create a nomination form, I would email that out to everybody, and then people would bring their suggested changes to this meeting," the member said.
Sheret responded that she had saved her version and planned to incorporate agreed changes, and members discussed whether to permit a drop-box approach (as opposed to mailing or town-hall drop-off) and which community sites to use. The commission did not take a formal vote or finalize a single working draft at the March 13 session and scheduled the nomination-form discussion for upcoming committee work.
