Staff described the platform as a single repository for project schedules, photos, requests for information and archived records, allowing project managers and consultants to access up‑to‑date information on mobile devices. Scott, a project manager, said the selected platform will facilitate knowledge transfer, archive project history and reduce time spent reconciling distributed records.
Councilmembers questioned alternatives and the cost‑increase, noting staff’s estimate of roughly $80,000 for the first year and current annual costs near $35,000 on the legacy system. Staff replied that the platform’s annual fee scales with the dollar value of active capital projects (so the price is not a simple flat license) and that integration and data migration considerations narrowed vendor choices.
After discussion the council moved, seconded and approved the consent agenda item that included the contract authorization. City staff said they will attempt to provide councilmembers with press releases and more detailed migration plans prior to public release.
