Staff said the original carts contract (approved in 2025) had assumed only a small number of software user accounts; after further review the department determined it needs more users (roughly 14–15) to manage inventory effectively. Staff negotiated lower per-account pricing, extended the proposed term and returned to the committee to request approval for the larger license count and longer term.
Crystal Brook said the negotiated terms generate roughly $11,000 in annual savings compared with the higher per-account pricing originally available. Committee members discussed timing relative to cart delivery and agreed that staff should align software deployment to cart receipt so crews can begin scanning and tracking units immediately. Councilman Sanchez moved to approve; Councilman Graves seconded and the motion carried.
