District communications staff told the board they are using new analytics tools to shape timing, translation and formats for family outreach in order to increase engagement and reduce missed opportunities.
"All of the appointments the first two days filled up within an hour and they actually had to go out and refill...for how many families showed up," Jessica Roberts said of the district's immunization clinics, citing the example as evidence that shifting timing can markedly increase participation.
Roberts described a two-year vision to build two-way relationships with families, expand VPS en Español, provide full translations and interpretation for clinics and other critical communications, introduce a project-management form to crowdsource content from schools, and develop consistent visual branding so families can immediately identify district messages.
Staff also reported early results from outreach events (50 attendees at a Black Family Mingle) and feedback gathered through ThoughtExchange on the hate-and-bias protocol; the district plans an FAQ and a curriculum web page to address recurring questions.
Next steps: staff will continue to refine timing for lotteries and events, roll out project-management tools for schools, and report results on outreach metrics to the board.
