O'Fallon senior advisory committee outlines plans for March Senior Fair, seeks vendors and volunteers

Committee members discussed logistics, donations and entertainment, and agreed to collect names at the door to aid follow-up with participants. A member leading event outreach said printed half-sheet flyers and paper applications will be available for distribution at local businesses and the senior center, and that organizers will continue vendor recruitment and confirm donated food and coffee from local businesses.
The meeting highlighted a trade-off between entertainment and vendor engagement: organizers said a loud performer (an Elvis impersonator used previously) drew a crowd but made it difficult for vendors to hear conversations. "Elvis is really great but loud," a committee member said, arguing the entertainment should start later in the program so attendees can visit tables first.
On registration, the committee agreed to collect attendees' names at the door and asked members to help with check-in. The outreach lead offered to provide sign-in sheets and explore using iPads for electronic registration to speed the process. Members also volunteered to assemble giveaway bags and run a raffle during the event.
Capacity planning centered on space and tables: the committee estimated that 30–40 vendors would fit comfortably and agreed to borrow extra tables from city sources and drop them off early for setup. Organizers reported they had contacted emergency-services agencies (St. Charles County Ambulance District, the fire department and the O'Fallon Police Department) to participate; so far only the ambulance district had confirmed.
Members also discussed publicity: the event will appear in the recreation department's Rec Guide, a Facebook event will be created on the recreation page and the city page will share the listing. Flyers will be posted at the senior center and other community locations.
The committee asked members to send suggested questions for a paired candidate Q&A scheduled for the evening of March 18, when the youth council and senior advisory committee will ask candidates about policies affecting seniors. Organizers asked that suggested questions be submitted by e-mail or text ahead of the session.
The meeting closed with reminders about volunteer assignments and logistics; no formal motion to alter the event plan was recorded beyond regular committee agreements to staff check-in, distribute materials and continue vendor outreach.
