The Fairfax County School Board administration committee voted unanimously to forward a set of proposed standard operating procedures (SOPs) for the clerk's office to the chair and the clerk for review by human resources, then to the full board.
Committee members said the SOPs are intended to document how the clerk's office executes administrative tasks, not to alter the governance manual. "There's nothing in the document that is different than what's in the governance manual except this is kind of like how the clerk's office operates versus how the board operates," a school board staff member said during the meeting, describing the SOPs as internal operational guidance.
The action followed a discussion of several procedural items and suggested wording changes. Members asked that language indicating a "best practice" for quorum and attendance tracking be softened to "preferred practice." The committee also clarified named operational roles in the document; staff identified Tiffany Shepard as the time-and-attendance processor in the school board office.
Committee members asked that the materials live in an accessible shared folder. A staff member said the plan is to add the SOPs and similar materials to a term folder on Google Drive so board members and their staff can access them on demand.
A motion to send the SOPs to the chair and clerk for HR review, then to the full board, was made and seconded; the motion passed unanimously. The committee directed staff to have HR review outstanding items and to return any SOPs that fail HR review to the committee for revision.
The committee adjourned at 5:40 p.m.
