District recommends $230,000 change order for baseball/softball renovation, to use capital reserve funds

Athletics and facilities staff reported updates on the baseball/softball renovations and requested the board to approve a recommended change order.
Preconstruction and schedule: Administration said equipment would arrive Sept. 9 with ground-breaking scheduled for Sept. 13 and that the basin work would be the first on the schedule. The engineers said the project has no firm finish date but projected completion sometime in June, dependent on turf/grass establishment and seasonal conditions.
Change orders and scope: Because of permitting and design refinements, administration recommended a combination change order that includes enlarging the basin to meet permit requirements, relocating the existing scoreboard to the baseball outfield for better sightlines on the softball field, installing a centrally visible and lit flagpole, improving outfield drainage for the softball field (an originally approved alternative) and installing sod rather than seeding for faster, more durable field establishment. Administration said the recommended additions amount to an estimated $230,000 increase.
Funding recommendation: Administration said the district has about $286,000 in a capital-reserve fund (including prior St. Luke's donations collected for the project) and recommended using that capital reserve so the general operating budget and fund balance would not be tapped. Administration also noted the change order includes built-in contingency and that further overruns beyond contingency would come back to the board for additional action.
Operational impacts: Staff described practice and game accommodations during construction (using alternate grass areas, reconfiguring fields and working with community partners to keep teams local where possible). Administrators said they are continuing to secure places for teams to play while construction is underway.
Administration requested permission to place a change-order item on Monday's board agenda recommending approval and to move forward with construction sequencing.
