Staff described the tool as an application that sits on the county website and converts requested documents to accessible formats on demand, enabling users to obtain accessible versions immediately without manual conversion. "This will satisfy the DOJ requirement on April 24th... we'll be in full compliance once this is installed," the IT department representative said. Staff emphasized the tool is not a long‑term substitute for converting county documents to native accessible formats but would be used to meet the near‑term deadline while the county completes conversions.
The team reported negotiating a $20,000 reduction in the vendor quote and said they expect to use the tool temporarily (one to two years) while continuing to convert large and complex documents such as engineering packets and solicitation materials. Staff requested expedited implementation to try to have the tool active by the April 24 deadline; the item passed by voice vote.
The contract was listed in the agenda with a total amount of $64,445 for April 15, 2026–April 14, 2027 and is subscription based; staff said implementation would occur behind the scenes on the county website and users should not notice the change except that documents will be available in accessible form.
