Park County Fair Board signs contracts, confirms sponsors and authorizes bookkeeping plan ahead of 2026 fair

Fair Administrator MacKenzie Rohman outlined multiple operational steps and vendor contracts as the board prepared for the 2026 Park County Fair.

The board’s financial report showed $97,742.62 in account funds and a recent $7,500 deposit for vendor fees. MacKenzie said the fair has about $45,500 in sponsorship commitments currently outstanding. The board agreed to continue advertising in "Summer in the Park" (estimated $1,000) and the Fencepost (estimated $1,200); Shawn Rohman moved to keep those ad buys and Coix Gemmer seconded the motion.

Several vendor and service contracts were reported as processed or pending: a Hippie Radio contract for $800 for short commercial spots, and an online livestock-show contract with Stormy for about $2,200 (with a $2,500 secure amount noted). MacKenzie also reported ordering four golf carts for two weeks at the same cost as last year ($2,680), new fair banners, barrel wraps sponsored by Ridgeline and Mile High Barrel Race, and trophies and buckles for rodeo events.

On finance systems, the board discussed payment-platform options (Venmo/Zelle) and QuickBooks online plans. Rusty Williams was authorized to research Zelle and related plans; the board approved authorizing up to $1,400 per year for a QuickBooks online plan that supports multiple users and invoicing features.

Other operational items included Eventbrite ticketing to begin May 1, coordination with a contractor to deliver equipment on May 6 for groundwork, and logistical planning for rodeo nights, mutton busting, and pig penning.

The board recorded motions to update bank signatories (adding Rusty Williams and Tara Zuber) and to approve the treasurer’s report.
