The Finance & Operations Committee on May 11 voted to forward a proposed Canvas Inc. subscription for document processing to the full board while raising questions about workforce effects and cost-per-document assumptions.
District finance/technology staff described the software as a means to automate document workflow (initial pilot with accounts payable). The agreement text referenced an estimated district cost of $18,000. Board members asked how many documents the district expects to process under the vendor's pricing model, and whether automation would reduce positions or be absorbed through reallocation or attrition.
Chief Financial Officer Aaron O'Toole said estimated savings will vary by area and implementation and that head-count effects could differ across departments: "It could be a quarter of a person, it could be half a person, it could be a whole person," he said, adding that the administration would need to examine specific areas and that workforce impacts could be an executive-session topic.
The committee moved the Canvas subscription (agenda item 3.05) to the full board for consideration on May 26. Members asked administration to provide clearer estimates of document volumes, expected annual cost under actual usage, and options for reallocating affected staff if automation reduces manual workload.
