Menands board approves switching payroll vendors, cancels AccuData contract

The Menands Village Board voted May 20 to cancel its AccuData payroll contract and move forward with a new vendor, GTM, after staff said the replacement would replicate current features, add online onboarding and handbook management, and reduce annual costs by roughly $4,000.
Donna (Clerk) told trustees the GTM service is based in Clifton Park, can transfer current payroll data from AccuData, and would include conversion and on-site training. "The system the service is $4,000 cheaper than we're currently doing now," the clerk said. Trustees asked how pricing was quoted and whether billing aligned with the village's biweekly payroll; staff said they would confirm per-pay-period calculations and work to align the conversion with payroll cycles.
Board members discussed contract timing and noted AccuData requires 30 days' notice to cancel. Trustee 6 moved to cancel the AccuData contract and proceed; the motion was seconded by the Mayor and carried. Trustees directed staff to give notice consistent with contract requirements so the new vendor could begin onboarding and aim for a July 1 conversion.
The board also discussed data-security details for personnel files, including encrypted police background records and the ability to track required training and signatures electronically. Staff said fees for permits or service additions (for other village functions) would be placed on the fee schedule rather than written directly into local law text.
