The Beaufort County Board of Education finance committee on Sept. 18 approved replacing its 114‑page $100,000 transparency report with a six‑page Smartsheet dashboard designed to surface major spending variances and let board members drill down by fund, program and vendor.
Finance staff said the Smartsheet dashboard overlays July 2024 and July 2025 data and produces heat‑maps and visual summaries that make construction, technology and other summer spending immediately visible. The author of the dashboard told the committee the tool is intended to reduce the human error of manually assembling charts and to present the same underlying data in a shorter, navigable format.
CFO Crosby said the condensed report preserves board policy requirements while improving usability: "This will pick up as expenses and invoices come through," she said, explaining the year‑to‑date snapshot and linking the dashboard to a downloadable link to the detailed report. Board member Hay, who has been testing AI use cases, told colleagues, "I love this report. It's much simpler to look at, and I love the abilities to drill down on information."
Committee members discussed whether the Smartsheet output should be uploaded into third‑party AI tools. Finance staff cautioned that uploading the raw transparency spreadsheet into public AI services could produce uncontrolled results; they recommended board training using the district's internal Smartsheet templates and controlled data uploads so the district retains data governance.
As next steps, staff will schedule training for board members with the instructional technology team and provide options for dates and levels of training, beginning with basic navigation and progressing to file uploads for targeted analyses. The committee asked finance and technology staff to coordinate on templates that let board members identify vendors, consultants and variances by school without increasing staff workload.
The meeting closed the Smartsheet discussion with broad endorsement from committee members, who asked staff to return with a schedule of training and a plan for controlled use of AI tools outside the district's governed environment.
