District facilities staff updated the board May 20 on planned summer work that would use the remaining capital-reserve referendum funds (identified in the meeting as approximately $2 million left from the 2025 referendum).
The projects include auditorium lighting upgrades, resurfacing the high-school gym, and a set of alternates. Staff reported receiving four general-contractor bids, four electrical bids and one theatrical bid. Facilities staff said taking all alternates would push the project over budget; the recommendation and contract documents will be prepared by the district’s project manager (CSR) then reviewed by legal counsel.
Facilities staff described a two-phase process and said the team interviews the apparent low bidder to ensure the contractor understands the full scope of work before final selection. Staff also noted a best-case timeline for project start in early July and a worst-case timing later in July depending on review cycles. A board member pointed to NYSERDA internship opportunities that could dovetail with the project for student engagement.
Board members asked about the criteria used in the selection process beyond base bid amounts; staff said the RFQ/RFP includes an interview and a scoring system for resume, quality and timeliness, and that architects and the director of facilities participate in contractor interviews.
Staff said recommendations will be submitted next week and contracts prepared for legal review prior to award.
