The committee agreed to centralize contacts, vendors and grant history in a shared database to reduce duplication and make outreach and grant follow-up more efficient.
Members proposed starting from the GreenWave vendor and organization list that Amy maintains; John (committee volunteer) offered to design the database format and collect information from other members. The group discussed using a cloud-hosted shared document (Google Drive, Microsoft) so multiple members can edit and maintain contact fields such as organization, expertise, phone, email, and notes about prior grant applications.
The database is intended to support subcommittee outreach (for workshops, vendor recruitment and grant applications) and to preserve institutional memory after staff or volunteers change. Committee members were asked to send John any additional contacts beyond the GreenWave list and to include notes about previous grant applications and status where available.
Outcome: John will assemble a draft template and the GreenWave list will be the starting point; members will contribute additional entries via the shared document.
