Commissioners authorize $396,000 records-preservation contract funded from archives

The Midland County Commissioners Court authorized a $396,000 records-preservation contract with Cofile on Dec. 2, using the county’s archive fund.
A project presenter (speaker 18) showed examples of preserved court records and described work that would scan, index and store aging paper files. The presenter said the papers were deteriorating in cardboard boxes and that the project will both archive originals per the state retention schedule and make searchable digital copies for public access.
Commissioner (speaker 7) moved to authorize the county judge to sign the agreement; the county attorney’s office had reviewed and approved the contract, the presenter said. The court approved the motion by voice vote.
The presenter said the project is consistent with state archival retention requirements and that some preserved court records already illustrate the intended outcome. Staff said the records will be indexed and stored at the library in accordance with retention rules.
The contract amount was stated on the record as $396,000 and will be paid from the archive fund. The court recorded no requests to alter the scope during the meeting.
