Fair organizers report record attendance and urge clearer hot-fund reporting; council requests a template

Representatives of the Rockdale Fair Association presented a post-event report describing strong attendance and higher income than prior years, and outlined maintenance and operational needs for future fairs.

"This year, we blew last year out of water," said Christy, a fair representative, describing large crowds and noting that some attendees had to sleep in vehicles because local lodging sold out. She highlighted parking challenges, security and maintenance needs (including replacement of a dog barn) and said the association plans to begin next-year preparations and capital projects.

Council members praised the level of detail in the financial reporting but raised questions about which expenditures qualify under the city's hot-fund rules. The mayor said the city would like recipients to use a standardized reporting template; council agreed that staff should work with fair organizers to clarify qualifying expenses and that staff would vet items that may not meet hot-fund qualifications.

The meeting included additional community presentations, including a Rockdale Community Market report on the Vampire Ball event that noted social-media backlash and timing issues. Council asked for standardized templates for hot-fund reports and encouraged organizers to coordinate with staff early to avoid confusion.

The council did not take formal action on the fair's request that night but requested staff follow up on qualification questions and suggested providing recipient reporting templates to future hot-fund applicants.
