USBE details SSID merge rules and asks LEAs to submit complete tickets by June 16

Katrina emphasized that SSID merges require exact matches on primary attributes (first/middle/last name, SSID and birth date). ‘‘Primary attributes must be exactly the same for both SSIDs. Otherwise we will not be able to merge them,’’ she said, and added that the lower (older) SSID is kept while the newer number is merged away.
She described the required Freshservice/app‑helpdesk form fields: LEA name and number, student SSID to be kept, student SSID to be merged away, school and student school ID to be kept, the name and LEA number of the contact who granted permission to merge on behalf of the other LEA, and the reason for the merge. Katrina warned that missing or inconsistent attributes (for example, middle initial vs. full middle name) commonly block merges.
Timing and sync: Katrina said the SSID merge deadline to guarantee completion before year‑end finalized submission is Tuesday, June 16 by 5 p.m. She also noted merges will be prioritized in the order LEAs finish their school year and that merges can take up to six hours to sync into Utrecht and data gateway after completion.
Practical guidance: Katrina advised LEAs to use the SSID user contact list in the SSID program and to include the name of the person granting permission on the ticket. She asked LEAs to avoid submitting merge requests as incident tickets, since the merge form contains required fields USBE needs to process merges quickly.
