Gateway SD board adopts AI and social-media policy, approves pilot of Timely scheduling software

Gateway School District’s board on Jan. 26 approved a new artificial-intelligence and social-media policy and authorized a pilot of Timely scheduling optimization software at Gateway High School.
The policy (Item 7.1) was presented by district administrators as part of a larger package of policy items. Board members said they planned to adopt the policy now but revisit it frequently to respond to rapidly changing technology and legislation. "This is moving so fast ... we need to constantly revisit that policy," a board member said, urging the board to schedule quarterly reviews.
Administrators described the Timely software as a scheduling tool that uses advanced algorithms to identify optimal class pairings and reduce under-enrolled sections; the district will run Timely in parallel with its existing Skyward-based scheduling to compare outcomes before deciding whether to use it for issuing schedules.
District technology staff cautioned against labeling Timely as the same kind of AI used in conversational systems. "There's a gray area between some of the algorithms and AI ... this is more of a data-oriented analysis to find the best and optimal schedule," the technology lead said.
The board put several other policies on 30-day display and discussed aligning local policy numbers with PSBA templates. After discussion, motions to approve Item 7 (including the AI/social-media policy and the Timely pilot) were moved, seconded and carried on a roll-call vote.
Administrators said the district will accept updates and recommendations from PSBA and its technology council and bring suggested changes back to the board as needed. The board scheduled additional policy review work on its calendar to ensure the AI policy does not become outdated.
The board’s action leaves the district poised to test Timely’s scheduling recommendations against current practice; any decision to adopt Timely for production schedules will follow evaluation of the pilot outcome.
