Chair Nicole said the committee received an approved sponsorship letter and form and will reissue a one-page PDF version for outreach. Committee members discussed whether to maintain a formal treasurer or use a "financial liaison" model with town hall processing receipts; Nicole said the group still needs a year-to-date financial agenda item even if transactions go through town hall.
On corporate fundraising programs, Nicole described options at franchise chains: "They have 1 day, and you can get a 25% payout if your flyers bring a $150 net sales," she said, noting Panera and McDonald's have similar programs. Members also discussed applying through a Starbucks Foundation contact or Jersey Mike's giving month.
A committee member (Marita) asked whether she could include personal contact information on sponsor outreach materials; Nicole replied that volunteers may sign and offer their email or phone but should forward sponsor contact details to the chair so the committee can manage money and logos centrally: "And then they'll contact you so that you can manage the money," Nicole said.
Members agreed the spreadsheet will track who contacts which sponsor and that creating filters and shared access will help coordinate outreach. The group did not take any formal vote on financial policy; instead the chair asked for a finance update on future agendas and for members to proceed with outreach under the agreed recording procedure.
Next steps: reissue the sponsorship PDF, track sponsor leads in the shared Google Sheet, and include a financial report item on the agenda for the next meeting on Dec. 18.
