The board voted to approve a Guaranteed Maximum Price (GMP) amendment with Gilbane for a major renovation at Pollson (HVAC, electrical, auditorium and gym work).
Facilities staff described a multi‑package bid process that produced a GMP amendment just over $14 million plus an earlier equipment pre‑purchase of roughly $1.3 million (for the generator and transfer switch), yielding an approximately $15.3 million construction cost that staff said is under the earlier construction document estimate and within the project budget. "If the project was built for that $15.3 million," staff said, "we would be well within the overall project budget" and it would leave funds available for future capital needs.
Facilities explained the bid split into 10 trade packages, a thorough scope review that disqualified one bidder for an omission, and the application of standard CM allowances and a 2.15% fee. Staff estimated construction start in late January or early February 2026 and noted schedule impacts: the auditorium will be offline through the end of 2026 and the main gym will be unavailable through November 2026, with logistics planned to limit disruption to the occupied building.
The board authorized the first selectman to sign all documents related to the award. The motion passed on a recorded voice vote.
