Lauren Ragan, a staff member who manages events at the expo center, told trustees that the current rental agreement does not specify rates for extra days except when the renter takes the entire building. Crenshaw, a staff member, said the agreement should include an explicit additional-day rate. Ragan proposed setting additional days at half the first-day rate to account for events that remain setup overnight or over multiple days.
Trustee Charlie Rogers moved to add the half-price additional-day fee to the rental agreement; Vice-Chairman Mike Haynes seconded the motion. The motion passed unanimously with both trustees present voting aye.
Ragan also updated the board on several operational matters. She said Oktober Fest has requested the entire facility Tuesday through Sunday at $4,500, the same rate listed for that event last year, and that McAlester School has confirmed plans to use the facility for next year’s graduation. She reported that Malcolm Mechanical has completed part of the air-conditioning repairs and will return to finish the work, and that staff continue to address lingering problems with the sound system used during McAlester’s recent graduation. Ragan told trustees she had moved a country and rock festival to “Lightening C” because the amphitheater area is not fenced off; the transcript spells that site as “Lightening C.”
In routine business, the board approved the meeting agenda, the May 18, 2026 minutes and acknowledged claims and fiscal transactions as presented. A printed purchase-order summary for EDA Expo M&O showed payments on May 26, 2026 totaling $1,439.42 to three vendors: Alderson Regional Landfill ($297.86), Amazon Capital Services (two POs totaling $524.78 for storage racks and backdrop curtains) and ACC Business ($616.78 for monthly internet service).
Trustees adjourned following the approvals. The board did not take further formal actions related to discounts for schools beyond the discussion; Rogers said all schools should be charged the same rate when that topic was raised.
