Project team changes approved; consultant explains FF&E awards and next steps

The Whitman-Hanson building committee voted to accept the project‑team staffing changes proposed by the project manager and to approve the furniture, fixtures and equipment (FF&E) award package, the committee was told on May 26.

Project presenter S2 described team adjustments, including the addition of Mark Rickorian under Justin, a new site representative replacing the prior person, and bringing Vivienne/Vivian on as project director; the committee moved and unanimously approved the changes. S2 said the team will notify the Massachusetts School Building Authority (MSBA) with an updated letter about the staffing change.

The committee heard a detailed explanation of the FF&E bid analysis and justifications from the consultant/technical presenter (self-identified Justin, S6). S6 summarized the award documentation that will serve as the public record, explaining that the committee may award to the lowest qualified bidder when mockups or other qualification steps were not met by the absolute low bidder: "We award to the lowest qualified bidder. We required mock ups be delivered in a timely fashion, and some bidders chose not to do that, so we basically didn't regard their bid as viable." Following the committee vote to approve the FF&E total of $1,464,630.43, S6 said he would prepare purchase-order attachments and a distribution list and forward those to the town purchasing office and to vendors once purchase orders are cut.

George (S5) thanked teachers and staff who helped refine the FF&E list and praised the addition of a new Colliers team member for paperwork improvements. Committee members asked that staff ensure careful coordination during furniture installation and limit teacher access during onsite installs to prevent mix-ups.

What’s next: staff will produce the award summary and PO attachments, send them to the town purchasing office and vendors, and bring any vendor or invoice clarifications back to the committee.
