Philomath board finalizes Music in the Park logistics as volunteer slots fill

Philomath city staff told the Park Advisory Board on June 2 that volunteer sign-ups for the Music in the Park series are complete and that staff will continue coordinating bands, vendors and on-site logistics.
“All the dates are full,” the staff member said, explaining the Signup Genius system and the reminder emails volunteers receive. Staff described on-site responsibilities (sound pickup, coordination with bands and vendors) and asked members to swap if they cannot make an assigned date.
Staff said most bands this year are local but that a few travel through from outside the region; the city confirms pay and technical expectations with bands ahead of events. One returning band provided its own sound technician last year; staff noted a prior power issue that public works helped resolve and advised the board to use the public‑works after‑hours contact for urgent power problems.
Event branding and vendor coordination were also discussed. The board has ordered an elastic, branded table cover and staff plans to bring the cover with the sound machine. Sandwich-board posters with event listings will be printed, and staff will confirm with sponsor Pioneer and food vendors (Lions Club, Mud Oven Pizza) to avoid having competing free giveaways when vendors are selling items.
Staff also described minor site issues to watch for at events, including a soggy east lawn area under inspection by public works.
No formal board action was taken; staff asked board members to promote the Visioning 2050 community survey (open through June 4) and to attend concerts when possible to help with outreach.
