CUSD 300 technology staff reviewed a set of annual software and licensing renewals at the April 7 operations meeting and emphasized a review of usage and ROI before committing to multi‑year contracts.
John Hmel presented an update on several renewals: telephony support software (presented with a district threshold cost stated at roughly $69,299), a one‑year amendment to the district’s Tableau master agreement with fewer seats (reducing from about 1,600 users to about 1,300 after a vendor price increase), and a PowerSchool renewal that covers various modules (LMS, SmartFind, enrollment analytics) with a one‑year ask of $240,362.94, described as an 11% increase over last year.
Hmel said the district is keeping multi‑year commitments short in several cases to allow time for further analysis of actual utilization and academic ROI. He noted the district is using an internal platform to review license utilization and will prioritize renewals that show measurable use. For Lumio, staff presented a one‑year renewal for about 1,750 licenses at last year’s per‑seat cost (presented roughly as $40,750) and said the cost will come from the technology budget.
Trustees asked how the district decides which seats are reduced and how to ensure equitable access for instructional staff. Hmel said license assignment is based on utilization data and role‑based needs; further allocation decisions will be made by technology and academic leaders.
Ending
Staff will continue utilization analysis and return with recommendations on long‑term license strategies and any multi‑year procurements.
