Venita McQuillian, Danville Public Schools director of finance, and Natasha Williams, payroll manager, told the board April 16 that the district is implementing the Red Rover electronic timekeeping platform to replace paper time sheets and unify timekeeping, approvals and payroll processing.
McQuillian said the rollout follows a pilot across multiple operational sites and will be phased through 2026 and 2027 with a goal of full district use by July 2027. The platform will separate workflows by employee classification: exempt employees will use a daily check-in process while non‑exempt staff will use full clock‑in/clock‑out functionality. Local Red Rover administrators will be designated at every school, and a 60‑day kiosk focus period will precede expanded mobile access.
Natasha Williams described a redesigned pay stub (referred to as the "payub" in the presentation) intended to improve readability and transparency: straight time and overtime separated, clearer headers for employee and employer contributions, a deductions subtotal line, separate net pay/direct deposit/check displays, and year‑to‑date overtime reporting. Staff said rigorous testing and employee communications will precede a targeted July 1, 2026 rollout for the new paystub format.
Board members asked about training and on‑site support for employees who are less comfortable with new technology; presenters said pilot sites receive weekly meetings and office hours and that training will start about six weeks before each location goes live, with support during the first week.
Miss Walker asked for clarification about local administrators and support cadence; staff said pilot sites met weekly and will provide on‑site support during rollout.
