Presenters described logistics (instruments on buses when possible, percussion accommodations, and a combination of small-group chaperoning and room chaperones for supervision) and said the trip calendar was chosen to avoid conflicts with AP testing and prom. Board members asked for a numeric participation target and questions about instrument transport; presenters said previous trips managed without separate freight for percussion by coordinating with venues and vendors.
