Staff said initial troubleshooting in September 2025 diagnosed a leaking evaporator coil and provided a quote of $11,858 to replace it. Subsequent testing showed the leak originated in the exterior condensate coil, and Assurance revised its quote to $18,473. After comparing quotes, staff recommended replacing the whole system rather than investing in a component-level repair, noting the federal phase‑down of R410A refrigerant and the desirability of installing equipment that uses R454B and has a warranty.
Trustees asked about timing; staff said lead time to obtain the replacement unit is roughly six weeks and that installation is probably mid‑July. Staff also said the system is partially working now and they hope no temporary cooling will be required before installation. The board approved the contract by roll call.
