enCircle asks Tazewell County CPMT to change invoice timing and cite state attendance rules; CPMT approves invoice window and asks provider to return

The provider requested the payment invoice submission window be extended from five working days after the month to fifteen working days. David Taylor moved to approve changing the contract language to require invoices be submitted within fifteen (15) working days following the last day of each month for which services were provided; Lori Gates-Addison seconded and the motion passed unanimously.
enCircle also proposed replacing existing absence and payment language with a version that cites state attendance statutes and regulations. The proposed replacement includes the following sentence: "The Provider will comply with applicable Virginia attendance laws and regulations, including § 22.1-258 and 8VAC20-110-130. As such, a student receiving private day services will be discharged from the school after 15 consecutive absences. The Buyer agrees to pay for all absences up to the point of discharge." The CPMT discussed the requested change but did not adopt it at this meeting; members asked the coordinator to invite enCircle to the May 18, 2026 CPMT meeting at 11:00 a.m. for further discussion.
The requested change to invoicing timing takes effect as an approved amendment of the Payments and Invoices section; the proposed statutory citation and discharge language remain under discussion and will be addressed when enCircle returns to the CPMT.
