Board tables RFP for Port Jefferson Country Club master plan amid outstanding bluff engineering questions

The Village Board of Trustees on June 10 tabled a proposal to prepare and release a request for proposals (RFP) for an independent master plan of the Port Jefferson Country Club after trustees raised concerns about sequencing that work while bluff engineering reports from GEI remain unfinished.

A letter from the Country Club Management Advisory Committee (CCMAC), read into the record and dated June 5, urged the board to retain a qualified consultant to produce a comprehensive master plan addressing existing conditions, capital needs, operational and financial analysis, stakeholder engagement and implementation priorities. The letter was signed "Alexandra Spiegel, chair, Country Club Management Advisory Committee."

Trustees debated whether to proceed in parallel with master planning or to wait for finalized GEI engineering reports on the bluff and other technical documents. Some trustees argued that master planning and engineering could proceed simultaneously to avoid further delays; others said contractors would lack necessary technical inputs from the GEI reports and preferred to wait until those documents are finalized.

Trustee discussion referenced previous work (a strategic 15‑year operating plan and the Kemper report) and emphasized that a master plan is intended to be broader — covering capital, infrastructure and long‑term site planning across the entire 175‑acre campus, not just operations. Trustee concerns included potential duplication of effort and the need for a complete technical record for consultants.

After discussion, the board voted to table the resolution to issue the RFP. Trustees said tabling would allow them to review the GEI deliverables and consult with the parks/public works commissioner before moving forward. No firm new schedule was set; the item will return to a future agenda when trustees agree the technical background is sufficient.
