Board adopts revised facility-use form and urges polling-location commitments from partners

Board members reviewed a revised polling-location facility-use form and discussed steps to secure more "regular" polling-location partners across the county.
"We would like all of our polling locations to be regular polling locations," Marie Smalls, director, said. She described the form as a one-stop format that staff will use to confirm facilities' willingness to host elections beyond federal contests. Smalls said the office had already sent forms and notifications to facilities for the November election and will provide a copy of the form to sites participating in a given election.
The board also reviewed a compliance report (attachment C) that breaks down ADA compliance by area. Smalls reported the audits are complete and that "all the regular locations are in compliance," noting two exceptions: one location will not be available this year and another is under construction.
Miss Paul said the form and the new approach are intended to produce stronger commitments from sites so that locations do not change between elections. Board members agreed the office should seek commitments that apply to all types of elections while recognizing that some facilities may be unable to commit for special events.
What's next: staff will continue confirming polling locations for November and circulate the revised form to sites; members asked staff to consider the deadline by which a new location could be adopted and still allow sufficient time for voter notification.
