Commissioners approve $992,600 road design contract, copier lease renewal and new vital records system

Tippecanoe County commissioners on June 15 approved a set of procurement decisions that county staff said update aging technology and advance planned road work.

The board approved a design services contract with Aegis BLN USA valued at $992,600 for combined design work on County Road 400 South and 375 South. County staff described the contract as a bundled design agreement and the motion passed by voice vote.

County fiscal and facilities staff also presented an addendum to a master finance agreement with U.S. Bank and a maintenance agreement with Sharp Business Systems to replace 22 copiers and 68 printers. Staff said the five-year lease renews the county's copier fleet, standardizes supplies and parts, and is projected to reduce per-page costs by about $300 per month (roughly $15,000 over the contract term); the board approved the addendum by voice vote.

Separately, commissioners approved a one-time purchase agreement with Dana Mark Development (referred to in the discussion as "Win Records") to replace the county's outdated vital records issuance software. Staff said the current product, Chronica, has become difficult to support and that the Dana Mark solution would remove recurring annual maintenance fees except for major upgrades.
