Hampton board delays custodial‑services decision, orders more information

The CFO (Kathy Clarkia) presented the custodial RFP results and said one bidder was deemed nonresponsive for missing required documentation while the recommended vendor (listed in the packet as Harold Office Supply) proposed a higher price than trustees expected. Board members pressed for more detail on square footage calculations, whether the proposal included materials and equipment, how many custodians would be on site, and which office would oversee performance.
Vice Chair Foy and other trustees asked whether the district’s current custodial staffing (often five workers at the existing high school) matched the RFP requirement of seven custodians and how opening a larger building would change operating needs. Clarkia said the recommended price included labor and supplies, that some equipment would be vendor‑provided, and that the director of operations (reporting to the CFO) would oversee contract performance. Trustees discussed options to negotiate the scope, reduce costs by adjusting staffing or coverage hours, or delay action to gather more information.
The board unanimously agreed to postpone the item and reconvene as a called meeting (June 25 deadline for board questions and added to the July 9 agenda if necessary) so staff could provide the requested clarifications before awarding a contract.
The motion to postpone 6.4 passed 7–0.
