The Maxwell Town Council approved payment to maintain its current accounting software license while staff work through migration to a cloud version. Staff described vendor limits on data transfer — two years for accounts payable and one year for payroll — and an optional read-only legacy access for approximately $600 a year to preserve historical records.
Staff said the existing software will be supported until the end of 2025; the vendor’s migration timeline may place the town on a rollout list as late as March 2026, so the council approved paying to retain access while migration timing and training are coordinated. The council discussed additional costs associated with cloud migration (training fees, possible $5,000 training in some scenarios) and productivity benefits the cloud product would bring once implemented.
The motion to approve the payment carried by recorded vote. Council asked staff to coordinate migration scheduling (preferably after the budget cycle) and to review whether additional user licenses or training should be procured when migration is scheduled.
