Southbridge officials signal possible user fees, stress facility rules and insurance requirements

District leadership told the School Committee June 16 that Southbridge athletic fields and indoor spaces are "community assets" but that organized use must comply with policy KFR, include a formal application and proof of liability insurance, and be requested no less than four weeks ahead of an event.
"We are happy if groups use it, but there are caveats and there is existing policy," the receiver said, emphasizing the liability requirement and the need to transfer liability to user groups for organized activities. The receiver and staff described McMahon Field as well maintained through district facilities work and said the district is open to in-kind contributions as an alternative to cash fees for nonprofit groups.
Committee members asked for clearer website guidance linking to the facility-use policy and application materials. During discussion one preliminary figure mentioned for paid facility use was about $35 per hour with a two-hour minimum; meeting speakers characterized that number as an example under preliminary consideration rather than a final proposal.
District staff said the administration will continue to consult with custodial and finance teams and intends to bring a proposed fee schedule and public update before the start of the 2026–27 school year if they decide to move forward. No new fee policy was adopted at the meeting.
