Clerk: BoxCast installed; council office to consider livestreaming and end Zoom

Helen Dunlap, clerk of council, told the committee the city ordered the BoxCast system in October and it arrived in November; a staff member (Mr. Beals) has been completing installation because of vendor scheduling issues, and training of the Council Office is the final step before the system is fully operational. "The plan is to get Box Cast in working order," Dunlap said. She added that once the Council Office is trained, meetings’ audio and video will be posted to the city website a day after meetings.
Dunlap said the Council Office will inquire about livestreaming through BoxCast. If the system supports livestreaming and posting of meeting video, the Council Office will proceed; the plan is to terminate the Zoom license currently used for meetings because of the ongoing license cost.
Committee members asked for clarification on posting timelines and Dunlap confirmed the intention to post recordings the day after meetings. No formal vote or policy decision on livestreaming or Zoom termination was recorded; the committee received the update as an operational report.
Ending: Staff will complete BoxCast setup and train the Council Office; if livestreaming is feasible the office will implement it and discontinue Zoom.
